The following information is a general guideline which the Nevada Tourism
board has issued towards Travel agents. For you also a guideline what to prepare
when you start any inquiry:
Travel agents and group leaders alike may receive
assistance on group bookings. A group is defined as ten (10) or more rooms.
Leisure groups are defined as those not requiring meeting, banquet, or
convention space (unless the group is directly related to the travel trade
business). Otherwise, these groups would be turned over to the small
meetings team.
To receive assistance such as site selection, itinerary planning, and the
scheduling of site inspections, the travel agent or group leader simply
contacts their Tourism Team liaison with the following information:
- Group Name
- Arrival/Departure Dates (may include options)
- Number of rooms needed each day
- Number of passengers
- Any affiliation such as seniors, bowlers,
bachelors, etc.
- Any history of past excursions (is this
annual, have they brought this group to Las Vegas in the past)
- Any special requests such as luggage
handling, airport transfers, golf, etc.
A lead bulletin is then produced on behalf of the
agent/group leader containing their complete contact info. The hotels are
asked to respond directly to the contact ensuring them complete control over
negotiation, pricing, selection, and contracting. Once a hotel has been
selected and the LVCVA is notified, the file is complete.
